Question 1

Transferring your place to someone else

Accepted Answer

If you are unable to attend an event, you may be able to transfer your place to someone else. Simply view your booking via the link in your confirmation email and, if the event organiser is currently permitting such transfers, click to Transfer to Someone Else.

You will be asked to enter the name and email address of the intended recipient - together with any custom message you wish to add - and on completion of the booking invitation sent to the recipient, your entry will be removed.

Question 2

Updating your user profile

Accepted Answer

When registering for an event, any details stored on your user profile will typically be pre-populated on the entry form. You can update these details (email address, name, date of birth, gender) via the Settings option in your login menu (displayed as your First Name when signed in).

The login menu will appear in the top-right of the page when viewed in a desktop browser, or can be accessed via the burger menu when viewing on a mobile device.

Updating your booking/registration information

Accepted Answer

If any of the details provided during your registration for an event are incorrect/outdated, you may be able to update them yourself. Simply view your booking via the link in your confirmation email and, if the event organiser is currently permitting such updates, click to Update Booking.

You will be able to update any responses except your Name and Date of Birth, but must ensure you click Proceed at the foot of the page to save any changes. Note that you will not receive confirmation of any changes by email.

Question 4

How can I add an Item to my event booking

Accepted Answer

If you forget to do so during registration, or later change your mind, you can still purchase any merchandise/add-ons offered by the organiser of an event you have already booked.

Simply follow the link in your booking confirmation email to view/manage your entry, and select “Add Items to Booking” from the available options. You will then be taken to the the event merchandise page where you can add any items to your orders as necessary.

Creating a user account after registration

Accepted Answer

Creating a user profile allows you to manage all of your bookings in one place and take advantage of any other benefits offered by an organiser.

These can include loyalty points earned for entering an event, a record of your results, or credit earned through any referral scheme in place.

If you didn’t elect to create a user profile during registration for an event, you can do so by viewing your booking via the link in your confirmation email and click to Create Account where indicated. You will be asked to provide a password, and can then use the same login credentials to sign in to your profile with any organiser using the eventrac platform to host their events.

Question 6

Save Your Details for Faster Booking

Accepted Answer

Login to your user profile and navigate to the Bookings tab, expanding the option to display Past Bookings if necessary. Click on the grey circled tick to the left of any bookings for which you wish the participant details to be available for selection when later utilising the Auti-Fill functionality on the entry form.

Note that this functionality will only be available if you are signed in to your profile during the booking process.

Question 7

Joining a Waiting List

Accepted Answer

If an event has sold out and the organiser has enabled one, you can join a waiting list - so you still have a chance to take part if places become available. You’ll need to provide the same details as if you were entering the event, but you won’t be charged at this stage. Any extras or add-ons that would ordinarily be available during registration can be purchased if you are later invited to complete entry.

If a place does become available, and you are next on the waiting list, you will receive an email invitation with a direct link to review the details you originally provided and then complete payment. The invite will only be valid for a short period (1 or 2 days, for example) so you will need to take action as soon as possible. If you don’t respond in time, your invite will expire and be offered to the next person on the list. You can also reject the invitation if you are no longer interested in participating.

What is Haver-Tri?

Haver-Tri is a sprint-distance pool-based triathlon and aquathlon. The triathlon consists of a 400m pool swim, 17km bike and 5km run. There is also an aquathlon option for anyone who wants to do the swim and run without the bike. The event is aimed primarily at newcomers to the sport, but is suitable for experienced athletes looking for an early season race.

Where does the event take place?

The event is based at Haverfordwest Leisure Centre, which is located on St Thomas Green (postcode SA61 1QX).

Is the event suitable for beginners?

Yes, this event is ideal for beginners. It is a pool-based sprint triathlon, and there are also relay and aquathlon options for those that don't feel ready to take on all 3 disciplines.

What distances are involved?

The sprint triathlon consists of:

400m swim
17km bike
5km run

The aquathlon misses out the bike: the 400m swim followed by the 5km run.

Is there a relay team category?

Accepted Answer

Yes. Relay teams are very welcome. A relay team can consist of two (with one person doing 2 of the disciplines) or three people (1 person doing each discipline).

What is an aquathlon?

The aquathlon is the swim and run sections without the bike. Aquathlon competitors have a designated area in transition.

Where do I register, and when is it open?

Registration takes place in the Green Room at Haverfordwest Leisure Centre, on the first floor opposite the top of the stairs in reception, overlooking transition. Registration will be open on Saturday from 3-4pm, and then from 6-7am on Sunday. We recommend you come and register on Saturday if you can, so that you can sort your numbers and stickers out at home before the event.

What will I receive at registration?

When you register you will receive your race numbers, sticker set, electronic timing chip and strap, and event t-shirt (if you purchased one in advance).

Is parking available?

Free parking is available behind and underneath Haverfordwest Leisure Centre, accessed from Winch Lane. If this car park is full, use the car park at St Thomas's Green, next to transition (charges apply).

Where are the toilets?

Toilets are available in the reception area in the Leisure Centre, as well as in the village changing area next to the pool.

Are showers and changing facilities available?

Yes. Village showering and changing facilities are available inside the Leisure Centre before and after the race.

Are there refreshments available after the event?

Accepted Answer

Yes. The café inside the Leisure Centre will be open all morning serving breakfast items, cakes, and a selection of hot and cold drinks.

Are event photographs included?

Yes. Free electronic event photographs from RAW Photography are included with your entry and will be available for download soon after the event.

Are the roads closed to traffic?

No, all roads remain open to traffic so you must follow normal road traffic regulations.

Are there water stations on the course?

No. You need to carry any water or nutrition that you need during the event. There will be water and refreshments at the finish line.

Can family and friends cross the finish line with me?

No. Only competitors are allowed to cross the finish line under British Triathlon Competition Rules.

Can I leave a large bag or box in transition?

No. Large bags and boxes are not permitted in transition. Bring only the equipment you need for the race and, if required, a small soft-sided bag.

Can I use headphones?

No. Banned equipment includes MP3 players and mobile phones under British Triathlon Competition Rules.

Can marshals stop traffic for me?

Accepted Answer

No. Our marshals will help guide competitors and will be positioned at key points, but they cannot stop traffic or direct you. Always approach junctions safely and be prepared to give way.

Do I have to follow normal rules of the roads?

Yes. The event is on open roads and you are responsible for your own safety.

How many competitors can take part?

The field is limited to 200 competitors, including the aquathlon and relay team categories.

Is a British Triathlon membership required?

Accepted Answer

The event is permitted by British Triathlon which means it is organised to the highest standards of fairness and safety. To ensure you are appropriately insured when taking part, you must either:

Be a valid (on race day) annual British Triathlon Member (Core or Ultimate membership); or
Purchase a British Triathlon Race Pass when you enter (or use the one free Race Pass that comes with a Starter membership for this event).

Is drafting allowed during the bike section?

No. The bike section is non-drafting.

Is medical support available?

Yes, medical cover is provided at the event to meet the standards set by British Triathlon. If you need assistance, alert a member of the event team.

What if I have a medical condition?

If you have a medical condition that needs to be known by the event medical team, please provide the relevant information when completing your entry. This will only be shared with the event medical team.

What is the bike course like?

The bike course is 17km. It includes around 180m of climbing, with some fast descents, and on a mixture of main roads and quieter country lanes.

What is the run course like?

The run course is largely flat, and consists of 4 laps. The first 3 are identical, and the final lap is a little longer to bring you around to the finish line in front of the Leisure Centre.

What rules does the event follow?

The event is permitted by British Triathlon and will be run under the British Triathlon Competition rules which can be found on their website. Welsh Triathlon Technical Officials will be present to ensure the rules are followed for fair play and safety.

What should I do if I cannot finish the event?

You must report your withdrawal to the someone in the event team. This is important, even if you decide not to start after registering. The organisers need to know that every registered competitor is accounted for.

What time does the race start?

The first swim wave starts at 7am, the last swimmers should have started by 845am. Wave times will be published with the start list a week before the event.

What time should I arrive at the event on race day?

Registration opens at 6am and closes at 7am. Transition opens at 6am and remains open for those starting in later swim waves. Allow plenty of time to park, register (register on Saturday if you can), set up your transition, and get ready to swim. You need to be poolside at least 10 minutes before your published swim start.

When can I collect my bike and equipment from transition?

You are able to enter transition to retrieve your equipment any time after you finish. Please be mindful that transition may still be live with competitors who are still racing. You will need your race number to enter transition and collect your bike and other equipment.

When do entries close?

Entries close at midnight on Friday 2 April 2027, or earlier if the event sells out. You can take advantage of the Early Bird price until 31st October 2026.

Can someone else register on my behalf?

Yes, but they must bring proof of your valid British Triathlon membership or Race Pass purchase for the event. One member of a Relay Team can register the whole team, but again they must bring proof of valid membership or Race Pass purchase.

When and where is the presentation?

The presentation will take place inside the Ocean, right next to the finish line, at 1130am.

Where do I wear my timing chip?

Can I leave a towel in transition?

Accepted Answer

No. British Triathlon Competition Rules do not permit towels to be left in transition. A flannel, up to 30cm × 30cm, may be used.

What happens if I need to withdraw from the event?

Once you enter one of our events you are entering into a contract with us, of which this policy forms a part, so please make sure you understand your options (set out below).

This policy is designed to be fair to everyone and legally compliant, whilst ensuring that we can focus on delivering great events, especially in the crucial few weeks leading up to each event, rather than dealing with endless e-mails about deferrals, refunds and transfers….

IF WE CAN NO LONGER PUT THE EVENT ON….

In the unlikely event that we cannot deliver an event (for any reason), you will be transferred to the rearranged event (be that in the same or the following year). If you cannot take part in the rearranged event, or we do not offer a rearranged event, we will refund the entry fee, minus the online booking and card fees (which are non-refundable). Alternatively, you can transfer your place to the rearranged event to someone else (see Option 1 below).

IF YOU CAN NO LONGER TAKE PART….

We are providing you with three options if, after entering, you find that you cannot take part for any reason (e.g. through illness, injury, bereavement etc). Please note that, for a number of practical reasons, you cannot defer your entry to a future year.

OPTION 1: TRANSFER TO SOMEONE ELSE

Available up to midnight Friday 9 days before the event

You can transfer your place to someone else via your Eventrac account. Any payment for the place is between you and the person you are transferring to. There is no charge from us for this.

TIP: if you can’t find a friend or relative to take your place, we suggest Facebook users join the Pembs Tri Club Chatter group and advertise their place there.

OPTION 2: TRANSFER TO ANOTHER ONE OF OUR EVENTS

Available up to 2 months before the event

You can transfer to one of our future events in the same calendar year. You will be refunded, or charged, the difference in the respective entry fees using the card you originally paid with.

OPTION 3: REFUND

If you would prefer a refund, you can choose this option in your Eventrac account. Refunds (not including the original online booking or card fees) will be processed according the following schedule:

Up to 4 months prior to the event: 50% of original entry fee
Between 2 and 4 months prior to the event: 25% of the original entry fee
Between 1 and 2 months prior to the event: 10% of the original entry fee
Less than 1 month prior to the event: no refunds available
